Before commencing work we will organise a briefing meeting with you to establish your goals and objectives of your event as well as discussing in detail the services you require. We will then consult with you every step of the way, to create the very best and most engaging event possible.
We will make sure your event receives the professional support it requires including:
- Preparation and distribution of all registration and programme materials.
- Registration of delegates and arrangement of their travel and accommodation needs at preferential rates.
- Provision of regular registration, statistical and financial reports to the Organising Manager or Committee.
- Liaison with the venue on all venue related matters: initial contract negotiation and review, coordination of food and beverage requirements, access for exhibition hire company and exhibitors, conference deliveries and collections; special dietary requirements.
- Liaison with speakers, sponsors, exhibitors, committees and faculties.
- Sourcing and coordination of conference satchels, name badges, function tickets, delegate lists, conference programmes, local maps, tourist information and entertainment as required.
- Sourcing of MCs, Speakers, and Entertainment.
- Manage the exhibition set-up and exhibitor liaison both prior to the event and on site throughout the exhibition.
- Management of your audio visual requirements including liaison with the audio visual team prior to the event and on the day.
- Liaison with all presenters and any entertainers.
- Being on site at all times throughout your event to ensure it runs smoothly on the day.
- Sourcing and management of any conference or event add ons such as pre or post touring options, team building activities, cocktail parties, evening team dinners etc.
